Privacy notice
How we use the details you send us, how long we keep them, and your rights. Last updated [date of publication].
Who we are
REM Studios is a creative agency for property developers and hospitality groups. The controller of your personal data is REM Studios Ltd, a company registered in England and Wales (company number 17547735), registered office 19 The Courtyard, 44 Gloucester Avenue, London NW1 8JD. You can reach us about anything in this notice at enquiries@rem.studio.
What we collect
When you send an enquiry through this website, we receive what you type into the form: your name, company, email address, the services you're interested in, your timing and project stage, and your message. We don't ask for anything else and we don't need any special category data, so please don't include it.
If you email or call us directly, we receive your contact details and whatever you tell us.
Why we use it, and our lawful basis
| What we do | Lawful basis (UK GDPR) |
|---|---|
| Reply to your enquiry and talk through your project | Our legitimate interests in responding to people who contact us, and, where you're asking about working with us, taking steps at your request before entering into a contract |
| Prepare a proposal or quote, and deliver the work if you go ahead | Contract |
| Keep business records | Legal obligation (tax and company law) |
| Measure how the website is used (Google Analytics) | Consent |
We won't add you to a mailing list or send you marketing unless you ask us to.
Who sees it
Only the REM Studios team. When you send the form, it passes through our website host, Cloudflare, and is delivered to our inbox by our email delivery service, Resend; our email is hosted by Google Workspace. Each processes it only on our behalf, under a data processing agreement. The website itself doesn't store your enquiry: it exists only as the email in our inbox. We don't sell your data or share it with anyone for their own purposes. If a provider stores data outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.
How long we keep it
- Enquiries that don't go ahead: deleted 12 months after our last contact with you.
- Clients: contact details and project correspondence are kept for the length of the project and then for 6 years after it ends, the period we need them for tax, accounting and potential legal claims.
- You can ask us to delete your enquiry sooner at any time.
Cookies and analytics
We use Google Analytics to understand how people use this website (which pages are visited, roughly where visitors are and what device they use), so we can improve it. It only runs if you choose Accept on the cookie notice. If you choose Reject, or make no choice, no analytics cookies are set and nothing is sent to Google.
| Cookie | Purpose | Kept for |
|---|---|---|
| _ga, _ga_<ID> | Google Analytics: distinguishes visitors and sessions | 13 months |
| rem-consent (stored in your browser, not a cookie) | Remembers whether you chose Accept or Reject, so we don't ask again. Strictly necessary; nothing is sent to us or anyone else | Until you clear it or change your choice |
Google acts as our processor for this. Google Analytics doesn't log or store IP addresses, and we keep analytics data for 14 months. Data may be processed in the United States under the UK Extension to the EU–US Data Privacy Framework. Our lawful basis is your consent, which you can change at any time through "Cookie settings" in the About panel on our home page.
We also store your cookie choice in your browser so we don't ask again. That's strictly necessary and contains nothing else. Our hosting provider may keep short-lived server logs, such as IP addresses, to keep the site secure and running.
Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, and to have it transferred to you or someone else. Email enquiries@rem.studio and we'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, 0303 123 1113. We'd appreciate the chance to put it right first.
